This first-draft policy explains how Not Therapy collects, uses, stores, and shares information when people use our coaching operations platform and related services.

This Privacy Policy applies to the Not Therapy website, web application, and related tools, integrations, and services (collectively, the "Service"). It covers information we collect from coaches, staff members, clients, parents or guardians, and other authorized users who interact with the Service.

Depending on how the Service is used, we may collect:
- Account and profile information, such as name, email address, phone number, role, and login credentials.
- Coaching relationship data, such as coach assignments, client profiles, parent or guardian records, support status, and related workflow information.
- Communications data, such as messages, message metadata, call summaries, transcripts, notes, and operational records connected to a coaching relationship.
- Integration data, such as information received from connected services used to authenticate users or support messaging, scheduling, reporting, or workflow automation.
- Usage and device information, such as log data, IP address, browser type, approximate location derived from IP, session information, and activity within the Service.

- Directly from you when you create an account or use the Service.
- From your organization, coach, client, parent, or another authorized user who adds or updates records in the Service.

- From third-party providers and integrations, including identity, database, communications, analytics, or infrastructure providers.
4. How We Use Information
We may use information to:
- Provide, operate, maintain, and improve the Service.
- Authenticate users, manage permissions, and secure accounts and data.
- Support coach-client communication, workflow tracking, reporting, and operational coordination.
- Sync or process records from connected services at a user's direction.
- Detect, investigate, and prevent fraud, abuse, security incidents, or policy violations.
- Communicate with users about updates, support matters, and service administration.
- Comply with legal obligations and enforce our agreements.
5. Google User Data
If you choose to connect a Google account or use features that depend on Google APIs, we will access and use Google user data only as needed to provide the specific feature you requested, maintain or improve that feature, comply with law, and keep the Service secure. We do not sell Google user data. We do not use Google user data for advertising. We may store Google-connected data only for as long as needed to provide the requested functionality, meet our legal obligations, resolve disputes, and enforce our agreements.
6. How We Share Information
We may share information:
- With service providers and subprocessors that help us operate the Service, such as hosting, authentication, communications, support, or infrastructure vendors.
- With the organization, coach, parent, guardian, client, or other authorized participants involved in the relevant coaching workflow.

- When required by law or when we believe disclosure is reasonably necessary to protect rights, safety, property, or the integrity of the Service.
We do not sell personal information for money.
7. Data Retention
We retain information for as long as reasonably necessary to provide the Service, maintain records, resolve disputes, enforce agreements, and meet legal, security, and operational requirements. Retention periods may vary based on the type of information, the nature of the account relationship, and applicable law.
8. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
